Volunteer Training Weekend News! HUGE CHANGE

Volunteer Training Weekend CHANGE!!

Training Weekend 201:
New Volunteers are scheduled to arrive at 5:00pm on Friday night 7/20/12 to A NEW ADDRESS.
All Volunteers are NOT going to Shelter Island until SATURDAY MORNING. 
Instead we are holding a session for NEW VOLUNTEERS on Friday Night before the retreat on Saturday.
5:00 - 9:00pm /At the LIACC - TRI-CARE Building: 60 Adams Avenue, Hauppuge NY 11788
Use the back entrance. My cell phone is 646.522.5517. This building is very close to the ACS office. Literally, 5 building away:

There is NO transportation for our new volunteers out to Shelter Island, unless you have been alerted otherwise.
New volunteers should plan to stay at Quinipet until 3:00pm on Sunday. Jill has already sent out information about what you should bring, but please call if you have any questions or concerns.

Veteran volunteers are scheduled to arrive by 10:00 am on Saturday morning 7/21/12.
Veteran volunteers have been provided with a bus that will leave at 7:30 am on Saturday morning from the ACS office, the bus will depart from Shelter Island on Sunday at 3:00pm. You MUST register for this BUS! Space is limited and the bus is almost FULL.



Please make sure you do the following:
1. You have been e-mailed the Volunteer Training Manual. Read it. Print and sign the last page and either bring to training weekend or mail to the office attention: Camp Adventure.
2. You were sent the agenda for training weekend, so you can get a sneak peek.
3. Make sure you turn in your HEALTH FORM on or before training weekend.
4. Bring a bathing suit to training weekend. We will be conducting swim tests.
5. Get back to me if you plan to take the Veteran Bus. BUS? Be advised that after the ACS drop off on Sunday volunteers are may block out some time for an "extra surprise training" just for those interested. 
6. Remember that you are AMAZING!! Thanks for being such a special part of our Camp Adventure Family.

Volunteer Training Weekend 7/10 - 7/22/12

There is NO bus for volunteers leaving on Friday.  

There was an error in the mailing. There is NO Friday bus.

Training Starts on Friday 5:00pm for ALL NEW VOLUNTEERS!!

The Veteran Bus leaves on Saturday Morning from the ACS Office at 7:30 am. 

Training starts Saturday at 10am

Activities Meeting Agenda 7-11-12

Hi Activities Team!!


Here's what's on the agenda for tomorrow night. It's time to tie things up.



1. Attached you will find the Specialty Activity Outline. It would be most helpful if point people could fill out the outline so that we have a good plan on how to accomplish the logistics at camp. Please complete what you can now.



2. See a sample schedule of daily activities. Just for reference.



We need to review the questions/ needs for each night I highlighted in red. We also need to secure any additional supplies.


8/11 Saturday

Evening Activity: Hershey Park* Labor Intensive
We need at least two levels of activities one for the younger and one for older kids.
This activity will start at 7:30 pm and go till 9:00 for little kids and till 10 pm for older kids.
Music should not be overlooked at this event.
*Kim has been working on the activities for this event - she' away on vacation, but it looks like we are in good shape.We will need to work on it when she comes back.

Activities Meeting Update from 6-6-12

Our Next Meeting is 6-20-12
It's getting closer and closer to camp. I can't believe it. I hope that you are all filled with ideas on how to make all our dreams happen this year.


I wanted to give you an update on how we are managing with our activities. I think we are in great shape.

When we started dreaming our estimated costs for the activities during the week would have a retail value of about $25,000... and I asked you to do it, for $0. That's a BIG leap! We are not there yet, but getting closer!

I know you have already seen the schedule of events. Here's where we are at with our small, medium and big ticket items.

Candy - to create candyland/Hershey Park we are asking volunteers and friends to donate candy and looking for donations at stores.- This is already happening. Many people have committed to donating these goodies.

S'Mores - Believe it or not, the four campfires at camp could equal about $800 worth of s'mores!! Once this hit the pipeline our volunteers said they would have this covered. CHECK!

At waterfront for an optional activity, looks like we have a bouncer that new volunteer Kim Bjorklund is willing to lend us. This will be a nice addition, at no cost!! Thank you Kim :)

We have three events that require a DJ, we already have TWO covered without cost and working on two more. we have leads, it's not uncommon for us to pay for some travel for these types of things. - Dave has a DJ that will be working our Disney Ball and Jill spoke with Rudy about coming out for beach day.

We have one event that needs a band with sound equipment, we have a great lead on getting this for free - again, we may need possibly pay for travel- This is Kathleen Lao's Brother's Band.

Splish Splash day - Amazing! we have a quote for about $1400 worth of water slides and other cool stuff for only $250 bucks! this is a great deal not only that... I just got a check to have it payed for AWESOME!! Thanks Rob. 

Pizza for beach day/splish splash day will cost about $1500- That's a pretty low price for the Pizza!! Maybe we will also get some sponsors.

The catering for Disney Ball/ Banquet - a big tradition to have this catered meal... we got an amazing quote of only $9 per person for lots of bells and whistles, including a pasta station and paper goods. Thanks for getting this great quote Nicole!

The dance Dance Revolution - we are still in negotiations, but they have worked with us in the past and always been quite reasonable. (Dave in negotiations)

The Carnival is our big ticket! we are looking for underwriters for this event. Still looking to get bids at this point. (Marissa and Mike Pulgrano were looking intro this. It's our BIG Ticket item! We hope to have sponsors for this. It will likely cost around $2500) 

Yearbook - We are moving ahead with a soft cover yearbook and Jill is in the process of getting these details for us.

Other Items we need to start working on and need prices.
